Use case

Qotler for B2B services

Consultancies, agencies and professional services win on trust. Qotler helps your expertise show up in search, in AI answers and in your founders' feeds, consistently.

Sound familiar?

What gets in the way.

Problem

Referrals don't scale

Most work comes from people you already know.

Problem

Expertise stays hidden

What you know never makes it onto your site or feed.

Problem

Inconsistent presence

Posting stops whenever client work gets busy.

Your first six weeks

What to expect.

A realistic plan, not overnight promises.

Day 1Mind captures your services, ideal clients and how you're different.
Week 1Service pages fixed for the searches clients actually use.
Week 2AI visibility baseline for “who should I hire for…” questions.
Week 3A steady LinkedIn rhythm from real client lessons.
Week 6Measured search results and a view of which posts drew interest.
Built on your Mind

Your words, not a template.

Qotler starts by reading your website and drafting your product brief, ideal customer, competitors and brand voice. You correct anything that's off, and every expert uses your version from then on.

Connect Search Console and Analytics and the experts know which pages and searches matter for your business. Upload sales notes or customer feedback and they write in your customers' own words.

How Mind works →

The detail

Where services growth stalls.

Six problems we see in consultancies, agencies and professional firms, and why each one keeps the pipeline lumpy.

Pipeline

Feast, then famine

Referrals bring good clients, but you can't turn them up when the calendar empties. By the time a project ends, the next one should already be in conversation.

Service pages

Pages about you, not the client's problem

“End-to-end solutions for modern businesses” ranks for nothing. Clients search for the problem: “SOC 2 readiness consultant”, “Shopify Plus migration agency”, “fractional CFO for SaaS”.

Proof

Case studies stuck in slide decks

Your best work lives in proposals and PDFs, or under NDA. Nothing on the site shows how you think, so search engines and AI assistants have nothing to cite.

AI answers

Not named when buyers ask “who should I hire?”

Buyers ask assistants for firms that handle a specific problem. The answers lean on directories, review sites and pages that describe a specific expertise clearly.

Consistency

LinkedIn goes quiet when work peaks

Partners post when they have time, which is when client work is slow. The silence comes exactly when you'll need pipeline three months later.

Positioning

Generalist in a crowded market

“Full-service” puts you next to hundreds of firms. A specific promise (“we fix onboarding for B2B SaaS”) is easier to find, easier to remember and easier to refer.

Your team, in depth

Who matters most, and their first move.

For a services firm, trust comes first, so LinkedIn leads. Search and AI answers make that expertise findable by people who don't know you yet.

LinkedIn Expert

Why it matters here

Services are bought from people. A partner who regularly explains how they think about clients' problems is the one buyers remember when the need arrives.

What it does first

  1. Reads Mind plus anything you upload: proposals, talk notes, anonymised project notes
  2. Builds a list of angles, such as “what clients always underestimate” or “how we scope this work”
  3. Drafts two posts in your voice

What you'll see

Two drafts a week, with no client names unless you've added them. You edit, approve and post from your profile.

SEO Expert

Why it matters here

People searching for a specific problem are often ready to hire. Service pages built around those problems turn search into enquiries.

What it does first

  1. Reads Search Console for searches where your service pages already appear
  2. Maps each service to the problem searches clients make
  3. Proposes title and page fixes, with the evidence

What you'll see

Service pages that say who they're for and what problem they solve, changed through WordPress or a pull request you approve.

AI Visibility Expert

Why it matters here

“Who are good firms for [problem]?” is now a common question to an assistant. Being named in that short list is like a referral from someone the buyer trusts.

What it does first

  1. Builds 10–12 “who should I hire” and “how do I” questions from your Mind
  2. Asks them across assistants and saves the answer text
  3. Shows which firms, directories and pages get cited

What you'll see

A baseline and one change most likely to get you named, usually a clearer expertise page or a case study the assistants can cite.

Reddit Expert

Why it matters here

Business owners ask for advice in your field on Reddit every day. A genuinely useful answer from an expert is remembered, and sometimes leads to a call.

What it does first

  1. Maps communities where people ask about your field
  2. Shortlists threads where your experience genuinely helps
  3. Drafts replies that give the answer, not a pitch

What you'll see

A few threads a week worth your time. You post from your own account, and mention your firm only when it belongs.

30 / 60 / 90 days

Your first quarter.

A realistic first quarter for a small firm. Sales cycles in services are long, so the aim is visible expertise and steady signals, not a flood of leads in month one.

DAYS 1–30

Say clearly what you do

  • Mind captures your services, ideal clients and what makes you different; you upload past proposals and project notes
  • Search Console and GA4 connected, with your contact form marked as a key event
  • Service pages retitled and rewritten around the problems clients search for
  • A LinkedIn rhythm of about two posts a week from real client lessons
  • AI visibility baseline for “who should I hire” questions
Clear pages, a steady voice
DAYS 31–60

Show the work

  • Case-study pages for your strongest projects, named or anonymised, with client approval
  • Expertise articles that answer the questions you hear on every sales call
  • FAQ sections and structured data on service pages
  • Helpful Reddit replies in two or three communities
Proof that search and AI can cite
DAYS 61–90

Measure and narrow

  • First 28-day results on the service pages you changed
  • Which topics drew comments and profile visits from your ideal clients
  • AI answers re-checked: which questions name you now
  • Positioning sharpened in Mind around what resonated
A sharper niche, backed by evidence

A week, walked through

One week with Qotler.

An example week for a six-person data engineering consultancy in its second month. Every number here is an example, not customer data.

  • SEO refreshes the dataExample: /services/data-warehouse appeared in 620 searches last week for “snowflake migration consultant” at position 11, just off page one.
  • AI Visibility asks this week's questionsExample: you're named in 1 of 10 “who should I hire” questions. A directory listing and a competitor's case study are the most cited sources.
  • Three suggestions arrive1. Retitle the warehouse page around the migration search, with a section on timelines and cost ranges. 2. Turn the migration project notes you uploaded into a case-study page, client name withheld until approved. 3. Add an FAQ answering “how long does a migration take?”
  • LinkedIn drafts two posts“Three things every warehouse migration underestimates”, and a short story about a project that was scoped wrong and how you fixed it.
  • You decideYou approve the service-page fix and the FAQ. You ask the client whether you can name them in the case study. You edit one LinkedIn draft and approve it.
  • Changes preparedContent writes the new sections. Because your site runs on WordPress, the approved change is applied to the page directly.
  • Verified liveQotler visits the page, confirms the new title and FAQ are there, and keeps the before snapshot.
  • A Reddit thread worth answeringSomeone asks how to estimate the cost of a warehouse migration. The draft reply walks through the three biggest cost drivers and doesn't mention your firm at all.
  • Google re-reads the pageThe 28-day result window starts.
  • How the week landedExample: the LinkedIn post reached about 2.3× your usual audience, with comments from three people matching your ideal client. GA4 shows two contact-form submissions this week against an average of one.
Channel playbooks

How each channel works for services.

The specific plays Qotler runs for consultancies, agencies and professional firms, what you do, and how each is measured.

Service pages

One service per page, named the way clients describe the problem. A page that tries to cover strategy, design, build and support at once ranks for none of them.

  • Title and heading name the problem and the client: “Data warehouse migration for mid-size SaaS”, not “Data Services”.
  • Who it's for, and who it isn't. Being clear about fit filters out bad leads before they book a call.
  • How you work: the steps, the typical timeline and what the client needs to provide.
  • Pricing guidance if you can give it, even a range. Buyers look for it and assistants quote it.
  • An FAQ from real sales-call questions, with FAQ structured data.

The SEO Expert starts with services that already get impressions in Search Console, because those are closest to paying off.

Expertise content

The best topics are the questions you answer on every sales call. They are what buyers search for before they're ready to talk to anyone:

  • “How much does [service] cost?” A breakdown of the cost drivers, with honest ranges.
  • “How long does [project] take?” Phases, and what slows them down.
  • “[Approach A] vs [approach B].” When each one makes sense.
  • “Signs you need [service].” Written for the person who isn't sure yet.

Content drafts these from Mind and the notes you upload, so they reflect your actual method rather than generic advice. You edit for accuracy; your name goes on it.

Case-study pages

A case study is the strongest proof a services firm has, and the page assistants are most likely to cite when they recommend a firm. Each one gets its own page, not a PDF.

  • Situation: the client's starting point and constraint.
  • Approach: what you did and why, including what you decided not to do.
  • Result: only numbers the client has agreed to share.
  • Permission: Qotler drafts an anonymised version by default (“a 200-person logistics company”). Names, logos and quotes are added only when you confirm the client agreed.

LinkedIn for founders and partners

For services, LinkedIn is where trust gets built before the first call. What works: specific lessons from client work, a clear point of view on how your field is changing, honest stories about mistakes and what you changed. What doesn't: reposted industry news, generic tips, engagement bait.

The LinkedIn Expert keeps a steady pace of a few posts a week, even in busy months, by drafting from what's already in Mind and your notes. Nothing is posted until you approve it. You post from your own profile; direct posting from Qotler is coming soon.

“Who should I hire” AI answers

Question typeWhat assistants tend to citeWhat Qotler changes
“Best firms for [problem]”Directories, review sites, expertise pagesA clear expertise page per service, with who it's for
“How much does [service] cost?”Pages that give real rangesA cost-breakdown article with honest ranges
“How do I [task]?”Detailed guides, forum threadsExpertise articles and helpful Reddit replies
“[Firm] vs [firm]”Case studies, about pagesCase-study pages and a clear about page

Qotler won't write reviews of your firm or post on directories as a client. If a directory is a key source in your field, it tells you, and you decide whether to list.

Reddit advice threads

People ask business, legal, technical and marketing questions on Reddit in detail. The Reddit Expert shortlists threads where your experience genuinely helps and drafts a full, useful answer. Most replies don't mention your firm at all, and that's the point: the account builds a reputation, and the rare mention is welcome. You post from your own account.

Services sales cycles are long. A post in March can turn into a client in June. Qotler reports the leading signals honestly and doesn't claim a deal it can't trace.

Limits

What Qotler won't do for your firm.

Your reputation is the business. These are off the table.

It won't

  • Name a client or share client details without your confirmation
  • Invent case studies, results, quotes or testimonials
  • Write reviews of your firm or post on directories as a client
  • Claim certifications, partnerships or awards you don't hold
  • Run cold outreach, cold DMs or mass email
  • Post on LinkedIn or Reddit without your approval
  • Promise a number of leads by a date

What it does instead

  • Anonymised case studies by default, named only with permission
  • Uses only results your clients agreed to share
  • Makes your real expertise easy to find and cite
  • Writes in your voice, from your own notes and proposals
  • Keeps a steady pace even in busy client months
  • Answers questions in public so people come to you
  • Reports leading signals honestly while deals take their time
Questions
Is this only for software companies?

No. Any business that wins clients online can use it.

Will it share client details?

Never. Posts use only what you approve, and it won't invent client stories.

We can't publish client names. Can we still have case studies?

Yes. Anonymised case studies (“a 200-person logistics company”) still show how you work and what changed. Many firms publish both kinds: anonymised by default, named where clients agree.

How does Qotler learn our expertise?

It reads your public site to draft Mind, then learns from what you add: proposals, talk notes, methodology documents, anonymised project notes. Uploaded originals are kept in a private storage bucket.

How long until we see inbound leads?

Honestly, it varies. Page fixes are measured about five weeks after shipping, and AI answers change over weeks. Leads lag behind both, because services sales cycles are long. Plan on a quarter before judging, and watch the leading signals in between.

Our site runs on WordPress. Is that supported?

Yes. The WordPress connection is live, so approved changes can be applied to your pages without copy and paste. GitHub is live too, and Webflow and Framer are coming soon.

Does it manage our Google Business Profile or directory listings?

Not today. Qotler focuses on your website, AI answers, LinkedIn and Reddit. If a directory is a key source assistants cite in your field, it will tell you, so you can decide whether to list.
